Attention Exhibitors and Advertisers
The Society for the Advancement of Scandinavian Study invites publishers of materials of interest to scholars and others interested in the cultures of the Nordic countries: Denmark, Finland, Iceland, Norway, and Sweden in all media to reserve exhibition space at the Society’s 2016 Annual Meeting, scheduled at the Hilton New Orleans Riverside, April 27–April 30, 2016 (exhibit days are April 28–April 30).
This is the Society’s 106th Annual Meeting in the port city of New Orleans that shares a common character with the Nordic Hanseatic cities of Bergen, Copenhagen, Turku, and Stockholm, which have always been sites and tools of the circulation of goods, people, ideas, and foods, as well as artistic and musical influences. New Orleans connects people to the Nordic region in intriguing and sometimes troubling ways: through the transport—willing or forced—of human beings, through the spread and development of distinctive musical traditions like the blues and jazz, and through an ever more closely linked global marketplace of not only goods, but also literature, film, music, visual arts, and culinary innovations.
The meeting schedule will allow participants opportunities for browsing the exhibit room with scheduled complimentary morning and afternoon beverage service each day.

SASS 2016 Annual Meeting — Specifics for Exhibiting
1. SPACE ASSIGNMENT
All applications for exhibit space at the Society for the Advancement of Scandinavian Study (SASS) 2016 Annual Meeting must be made on an official order form. Full payment must accompany the order form. Space will be assigned first come, first served. Exhibitors will have access to set-up their table(s) on Wednesday, April 27, from 2:00–6:00 p.m. Exhibits will remain intact until exhibit closing at 4:00 p.m. on Saturday, April 30. Teardown will be from 4:00–6:00 p.m. that day.
2. EXHIBIT LOCATION AND HOURS
All exhibits will be located in the Pelican room, Riverside building at the Hilton New Orleans Riverside. Exhibit room hours will be Thursday, April 28 set-up 8:00 a.m.–5:30 p.m., Friday, April 29 from 8:00 p.m.–5:30 p.m., and Saturday, April 30, from 8:00 a.m.–4:00 p.m. (General Sessions run from 8:30 a.m.–10, 10:30 a.m. –noon; 1:30–3 p.m.; and 3:30–5:00 p.m.)
3. AMENITIES AND SUPPORTING ACTIVITIES In order to increase traffic to the exhibit room, we will schedule complimentary morning and afternoon beverage service breaks each day for exhibitors and attendees.
If you plan to have an author signing, please submit the details for inclusion in the program book no later than March 1, 2016 to: firstname.lastname@example.org.
If you would like to sponsor a special event at the annual meeting, like a reception, please submit a special event request to: email@example.com by March 1; this preliminary request serves as a placeholder, and does not require all details to be finalized. Meeting the March 1 deadline ensures that your event will be listed in the program book; requests made after March 1 will be accommodated as space allows.
4. SPACES MANNED/UNMANNED
All spaces will be limited to draped tables with one chair per table. Exhibitors will receive one complimentary registration per table but no more than two total registrations. All books sent for display in unmanned exhibits agree to donate the books to SASS. They will not be returned to the exhibitor.
5. HOTEL RESERVATIONS AND SHIPPING
Hotel reservation information will be posted on the SASS annual meeting page in early January; see the https://scandinavianstudy.org/annual-meeting/sass-2016-new-orleans/ page. We recommend that you book your hotel rooms as soon as possible, since the conference block tends to sell out fast.

Exhibitors assume the entire responsibility and liability for losses, damage and claims arriving out of injury or damage to exhibitor’s displays, equipment, and other property brought upon the premises of the Hilton New Orleans Riverside, and shall indemnify and hold harmless the SASS, the Hilton New Orleans Riverside, their agents, subcontractors, servants, and employees from any and all such losses, damages, and claims. The SASS and the Hilton New Orleans Riverside will make a reasonable effort to protect the exhibit area; however, it is the exhibitor’s responsibility to obtain insurance and to secure materials. The SASS and the Hilton New Orleans Riverside do not guarantee or protect exhibitors against loss or damage of any kind.
7. PROGRAM BOOK ADVERTISING
Send your message to meeting attendees by reserving ad space in the SASS Annual Meeting Program Book. All exhibitors may place an advertisement at the rates below.
